POSITION SUMMARY

The Agent Licensing Coordinator plays a crucial role in ensuring that all agents within the organization meet the necessary licensing requirements to operate legally and efficiently. This role involves overseeing the entire licensing process, from initial application to renewal, ensuring compliance with regulatory standards, and maintaining accurate records.

 

ROLE RESPONSIBILITIES

  1. Licensing/Contracting Process Management:
    • Facilitate the application process for new agents, including gathering required documentation, completing application forms, and submitting materials to regulatory bodies.
    • Request appropriate contracting for each agent, ensuring that contracting is received and completed. Monitor, issue and resolve any Contracting/Appointment issues.
    • Coordinate with relevant departments to ensure timely completion of licensing requirements, such as background checks, exams, and training programs.
    • Monitor the status of license applications, follow up on pending approvals, and address any issues or discrepancies that arise.
    • Track license expirations and coordinate the renewal process to ensure uninterrupted agent operations.
  2. Compliance Oversight:
    • Stay informed about licensing regulations, laws, and industry standards relevant to the organization and its agents.
    • Ensure that all licensing activities adhere to regulatory guidelines and company policies.
    • Conduct regular audits to verify the accuracy and completeness of licensing documentation and records.
  3. Recordkeeping and Documentation:
    • Maintain comprehensive and up-to-date records of agent licenses, certifications, and related documents.
    • Organize and archive licensing records in a secure and accessible manner.
    • Generate reports on licensing status, compliance metrics, and upcoming renewal deadlines as needed.
  4. Communication and Support:
    • Serve as the primary point of contact for agents regarding licensing inquiries, guidance, and assistance.
    • Collaborate with internal stakeholders, such as HR and operations teams, to address licensing-related issues and provide relevant updates.
    • Communicate effectively with regulatory agencies, external vendors, and other relevant parties to facilitate the licensing process.
    • Ensure agents become and maintain their ‘Ready to Sell’ status for all appointed carriers and in their licensed states.
  5. Process Improvement:
    • Identify opportunities to streamline and enhance the efficiency of the licensing process.
    • Propose and implement solutions to address challenges, optimize workflows, and reduce administrative burden.
    • Participate in training sessions and professional development activities to stay current on best practices and industry trends.
    • Contributes to effective system onboarding and integration into enrollment platforms, thus ensuring a smooth transition from training, to nesting, to production.

MINIMUM REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in business administration, legal studies, or a related field (or equivalent work experience).
  • Prior experience in licensing, compliance, or regulatory affairs preferred.
  • Strong understanding of licensing regulations and procedures in the relevant industry (e.g., insurance, real estate, finance).
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Effective communication and interpersonal skills, with the ability to interact confidently with internal and external stakeholders.
  • A self-starter, able to identify issues and challenges and create appropriate solutions.
  • Proficiency in using office software and database management tools for recordkeeping and reporting.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
  • Commitment to maintaining confidentiality and integrity in handling sensitive information.

Schedule: Monday – Friday

Salary Range: $55,000-$85,000.00
